Weather Policy/Refunds

Once payment is made, refunds are not available. However, if you provide notice of cancellation at least three weeks prior to the event, MCC will issue a credit for a future event.

In case of rain, no refunds will be provided once a team has commenced play. If no games are played due to weather conditions, a credit for a future event will be issued.

.  Introduction and Scope

Music City Classic (hereinafter "the Event," "we," "us," or "our") is a sporting event organized and operated in the State of Tennessee. This Privacy Policy governs the collection, use, storage, disclosure, and protection of personal information obtained from participants, coaches, spectators, volunteers, vendors, and any other individuals (collectively, "Users" or "you") who interact with the Event in any capacity, including through our website, registration platforms, mobile applications, on-site activities, and any other channels through which information may be submitted or collected.

This Policy is adopted in compliance with applicable Tennessee state law, including but not limited to the Tennessee Personal and Commercial Privacy Act (to the extent applicable), and in recognition of principles established under federal privacy frameworks. By registering for, attending, or otherwise participating in the Music City Classic, you acknowledge that you have read, understood, and agreed to the terms of this Privacy Policy.

2.  Information We Collect

2.1  Personal Identification Information

We may collect personally identifiable information, including but not limited to:

•  Full legal name and date of birth

•  Home address, city, state, and ZIP code

•  Email address and telephone number

•  Team name, school affiliation, or organization name

•  Emergency contact information

•  Uniform or jersey number and player position

•  Coaching credentials and certifications

2.2  Payment and Financial Information

If you submit registration fees, sponsorship payments, or vendor fees, we or our authorized third-party payment processors may collect:

•  Credit or debit card numbers (processed via secure third-party platforms)

•  Billing address and billing contact information

•  Transaction identifiers and payment confirmation records

Music City Classic does not store raw payment card data on its own servers. All financial transactions are processed through PCI-DSS-compliant third-party payment processors.

2.3  Health and Medical Information

For the safety of all participants, we may collect limited health-related information, including:

•  Medical conditions, allergies, or dietary restrictions relevant to on-site care

•  Insurance information for medical emergency purposes

•  Waivers, consent forms, and injury reporting documentation

Health information is treated as sensitive data and is subject to heightened protections consistent with applicable law.

2.4  Photographic, Video, and Media Information

The Event may capture photographs, videos, and audio recordings during competition and related activities. Such media may include the likeness, image, and voice of participants and attendees. By attending or participating in the Music City Classic, you consent to the capture and potential use of such media for Event documentation, promotional materials, and social media, unless you have submitted a written opt-out request as described in Section 8 of this Policy.

2.5  Automatically Collected Digital Information

If you access our website or digital registration platforms, we may automatically collect:

•  IP address, browser type, and operating system

•  Pages viewed, time spent on pages, and referring URLs

•  Cookies and similar tracking technologies

You may configure your browser to refuse cookies; however, doing so may impair certain functionality of our digital platforms.

3.  How We Use Your Information

Music City Classic uses collected information solely for legitimate operational, legal, and administrative purposes, including:

•  Processing registrations, entries, and team assignments

•  Communicating event schedules, rule updates, and operational notices

•  Administering waivers, consent forms, and liability documentation

•  Facilitating emergency medical response and ensuring participant safety

•  Collecting and processing payments for registration, vendor fees, or sponsorships

•  Producing official rosters, brackets, and statistical records

•  Complying with applicable federal, state, and local law

•  Enforcing Event rules, eligibility requirements, and governing policies

•  Improving Event operations, participant experience, and marketing efforts

We do not sell, rent, lease, or trade your personal information to any third party for their independent commercial or marketing purposes.

4.  Disclosure of Personal Information

4.1  Permitted Disclosures

We may disclose personal information to the following categories of recipients under the circumstances described:

•  Sanctioning Bodies and Governing Organizations: Applicable governing bodies (e.g., NFHS, TSSAA, or other relevant associations) may require submission of rosters, eligibility certifications, or statistical records.

•  Contracted Service Providers: Third-party vendors providing registration platforms, payment processing, photography, timing services, and facility management may receive limited information necessary to perform their contracted services. Such vendors are bound by confidentiality obligations consistent with this Policy.

•  Law Enforcement and Legal Process: We may disclose information as required by court order, subpoena, legal process, or to cooperate with governmental investigations or to protect the rights, safety, or property of the Event, participants, or the public.

•  Medical Personnel: In the event of a medical emergency, relevant health and contact information may be disclosed to emergency responders, medical staff, or healthcare facilities.

4.2  Prohibited Disclosures

Music City Classic expressly prohibits the disclosure of personal information to third parties for direct marketing, data brokering, or any purpose inconsistent with this Policy without your express prior written consent.

5.  Data Retention

Personal information collected in connection with the Music City Classic will be retained for the period reasonably necessary to fulfill the purposes for which it was collected, including to satisfy any legal, accounting, or reporting obligations. In general:

•  Registration and participation records will be retained for a minimum of three (3) years following the conclusion of the applicable Event year.

•  Financial transaction records will be retained for a minimum of seven (7) years in accordance with standard accounting and tax compliance practices.

•  Medical and waiver documentation will be retained for a minimum of five (5) years or as otherwise required by law.

Following the applicable retention period, personal information will be securely destroyed or de-identified in accordance with our data disposal procedures.

6.  Data Security

Music City Classic implements commercially reasonable administrative, physical, and technical safeguards to protect personal information from unauthorized access, disclosure, alteration, or destruction. These measures include:

•  Restricted access to personal information on a need-to-know basis

•  Use of secure, encrypted transmission protocols (SSL/TLS) for digital data collection

•  Secure storage of physical records in locked facilities

•  Use of PCI-DSS-compliant platforms for payment processing

Notwithstanding the foregoing, no data transmission over the internet or storage system can be guaranteed to be one hundred percent (100%) secure. In the event of a data breach involving your personal information, we will notify affected individuals in accordance with Tennessee Code Annotated § 47-18-2107 (Tennessee Identity Theft Deterrence Act) and any other applicable breach notification law.

7.  Privacy of Minors

Music City Classic recognizes its obligations with respect to the privacy of minor participants (individuals under the age of eighteen (18)). We do not knowingly collect personal information directly from minors without verifiable parental or legal guardian consent. Registration for minor participants must be completed by a parent or legal guardian, who thereby consents on behalf of the minor to the collection and use of information as described in this Policy.

Parents or legal guardians who believe that personal information of a minor has been collected without appropriate consent should contact us immediately using the contact information provided in Section 11 of this Policy.

8.  Your Privacy Rights

Subject to applicable law, you may have the following rights with respect to your personal information:

•  Right to Access: You may request confirmation of whether we hold personal information about you and request a copy of such information.

•  Right to Correction: You may request correction of inaccurate or incomplete personal information in our records.

•  Right to Deletion: You may request deletion of your personal information, subject to our legal obligations to retain certain records.

•  Right to Opt-Out of Media Use: You may submit a written request to be excluded from Event photography and promotional media, subject to the practical limitations of large-scale event operations.

•  Right to Non-Discrimination: We will not discriminate against you for exercising any of your privacy rights.

To exercise any of the above rights, please submit a written request to the contact information listed in Section 11 of this Policy. We will respond to verifiable requests within forty-five (45) days, or as otherwise required by applicable law.

9.  Cookies and Online Tracking

Our digital platforms may use cookies, web beacons, pixels, and similar technologies to enhance functionality and collect usage data. Types of cookies we may use include:

•  Essential Cookies: Necessary for the operation of our registration and payment systems.

•  Analytics Cookies: Used to understand how users interact with our platforms in order to improve the user experience.

•  Marketing Cookies: Used to deliver relevant communications and promotional content related to the Event.

You may disable cookies through your browser settings. Disabling essential cookies may affect your ability to register or access certain platform features. We do not currently respond to "Do Not Track" signals from browsers, as no uniform industry standard for such signals has been established.

10.  Third-Party Websites and Platforms

Our website and communications may contain links to third-party websites, social media platforms, or registration services. This Privacy Policy does not apply to such third-party platforms. We encourage you to review the privacy policies of any third-party sites you visit. Music City Classic is not responsible for the privacy practices or content of third-party websites.

11.  Amendments to This Policy

Music City Classic reserves the right to modify or update this Privacy Policy at any time in its sole discretion. Material changes to this Policy will be communicated to registered participants via email or prominent notice on our official website no less than fourteen (14) days prior to the effective date of the change. Continued participation in or attendance at the Event following the effective date of any amendment constitutes your acceptance of the revised Policy.

12.  Governing Law and Jurisdiction

This Privacy Policy shall be governed by and construed in accordance with the laws of the State of Tennessee, without regard to its conflict of law provisions. Any dispute arising out of or relating to this Policy shall be subject to the exclusive jurisdiction of the state and federal courts located in Davidson County, Tennessee, and you hereby consent to personal jurisdiction in such courts.

By registering for or participating in the Music City Classic, you acknowledge that you have read, understand, and agree to be bound by the terms of this Privacy Policy. If you do not agree with the terms of this Policy, you should not register for or participate in the Event.
